Description
The Crisis & Trauma Resource Institute Inc. (www.ctrinstitute.com) is seeking an Executive Assistant to work on-site at our head office. We are located on Westminster Street in Winnipeg. Start date will be as soon as possible.
CTRI provides training (in-person and online) and resources in the areas of trauma, mental health, counselling skills, and violence prevention. Our sister division, ACHIEVE Centre for Leadership, provides training (in-person and online) and resources in the areas of leadership development and workplace culture.
Hours
This position is 0.8 to full-time (30 - 37.5 hrs), during regular office hours. Some or all of the hours should be worked on-site at our office, however a hybrid working arrangement is possible.
Position Overview
This position provides direct administrative and organizational support to three executives at CTRI. The Executive Assistant will manage some aspects of correspondence for the executives, including email and phone calls both internally to external clients. They will also be responsible for managing the schedules of senior executives, including setting up meetings, taking minutes, and tracking follow-up to meetings. The successful candidate will be required to demonstrate a high level of initiative, work with considerable independence, and maintain full confidentiality.
Key Duties
• Screen and direct emails and phone calls for executives appropriately
• Create, edit and manage correspondence for the executive leadership team
• Manage the executive team members’ calendar and meetings
• Manage information flow in an accurate and timely manner
• Make recommendations to the executive leadership team regarding priorities and opportunities for their involvement
• Make travel and accommodation arrangements
• Liaise with vendors and clients as needed
Additional Duties
• Take minutes at meetings
• Follow-up on action items from meetings on behalf of executives
• Assist with various projects and tasks as needed
• Assist other administrative staff as needed
Qualifications
• Executive assistant experience is a significant asset
• High level of initiative and ability to work independently
• Ability to handle confidential information
• Strong time management and organizational skills
• Able to prioritise multiple demanding deadlines with ease
• Excellent verbal and written communication skills
• Exceptional attention to detail
• Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook
• Strong computer/technology skills and aptitude to learn new programs quickly
• Personable and friendly, fun and grounded
• Exceptional contributor to a team environment
• Demonstrate continuous self-improvement

Wage/Benefits
• Wage range for full time: $49,000 - $60,000 depending on qualifications and experience
• 4 weeks of paid vacation/personal days
• Extended benefits after 3 months of employment
